The neighborhood theater recorded expenditure on paint, costumes, and room hire in separate columns so members could see where its money went. Its fiscal year ran from the start of September through the end of August, covering twelve months even though it crossed calendar years. After meeting the recorded costs and setting aside money for existing commitments, the group had a small surplus. The treasurer explained that this remaining amount was available only after the stated requirements had been covered.

A lower expenditure on scenery helped create the surplus, but the treasurer resisted presenting every unspent sum as freely available. Some money was already needed for bookings later in the fiscal year, so she included those requirements before identifying what remained. Members could then discuss an extra workshop without confusing money currently in the account with money left after obligations. The report tied each figure to a purpose and a period, giving the group a shared basis for its next decision.
